Chatelaine - Tina Oliver

  • Activities have slowed down as a result of winter
  • Regular meetings are taking place in Distant Shore and Seashire
  • A change of curia officers has taken place in the Canton of Wolfsgate
  • Lady Deadre (Gypsy) is working on establishing an SCA group at Acadia University
  • No demos are currently scheduled

Chronicler - Paul McCullough

  • Paid subscriptions to Quid Nunc are 20
  • Complimentaries - 8
  • Approximately 30-35 copies are being printed per publication
  • Cost per copy is approximately 1.80 with the income per copy being less.
  • A reimbursement of 298.10 is currently being sought
  • Contributions from curia officers to the Quid Nunc is low and the Chronicler would like to see improvement in that area

Company Captain of Archers - Vivian Fox

  • No archery activities are taking place during the winter months

Coronet - James and Maria Crook

  • No news to report at this time

Exchequer

  • Ruantallan currently has a new bank account and an old bank account which will be closed and trasferred over once all transactions are confirmed completed
  • The old bank account currently holds $465.00
  • The new account currently holds $528.00
  • The reason for changing accounts is the monthly charges are cheaper, it is closer to the exchequers residence, and the regional exchequer requested a new account be set up
  • Current balance (not including profit from the EKU) is $993.00, which includes approxmately $600.00 held in account for the Canton of Wolfsgate
  • The issue regarding reports from the Baronial Rapier Championship in June 2004 is on it's way to being resolved, and Lord Algernon will be in contact with Lady Janet for assistance in finalizing these records
  • A request to put the event bid form online was made
  • The exchequer requests that autocrats keep a record of the names of those who cheques have been received from and their amounts prior to passing them into the exchequer. This will allow for better follow up should cheques not be processed accordingly.
  • 12th Night NMS amount to be submitted is $128.00

Icicle Pursuivant - Joan Chiasson

  • Working on populace badges
  • The webmaster has received information on regalia for the website and is working towards getting that posted as soon as possible
  • Currently working on the agenda for a heraldry class

Minister of Lists - Yesungge Altan

  • The Kingdom MOL had reported a problem with some paperwork which had resulted in the delay of cards being issued. This has now been resolved.
  • The Kingdom MOL has also requested that anyone who is no longer active in a marshall activity, please advise the Kingdom MOL so that your name can be removed. Only the Kingdom MOL may remove someone from the list and it cannot be passed on through the Baronial MOL.

Seashire

  • No official report filed
  • Lord Algernon has stepped down and Lady Brianna is acting seneschal
  • Their next meeting is scheduled for January 23rd, 2005.

Wolfsgate - Colin MacKenzie

  • Attempts are being made to verify memberships, however, they currently estimate 13 paid members and 7 non-paid members
  • Curia is in the process of changing and a new bank account will be set up for Wolfsgate
  • Wolfsgate will be holding a Valentines Ball on February 12, 2005 in Wolfville, Nova Scotia

Ynys y Gwaed - Nancy Clark

  • Also trying to verify memberships, they currently estimate 19 paid members and 15 non-paid members.
  • They have held 2 feasts since Summers End in September 2004
  • No fighter practices are currently taking place
  • January 22 and February 19th have been booked for potluck feasts
  • The website has been updated


Old Business

  • EKU-RP
    1. Overall profit of $791.00 (half of which belongs to the Barony and half of which belongs to the East Kingdom University)
    2. Money is pending transfer to Kingdom and the EKU Chancelloress
  • Membership Cards
    1. A request to place a disclaimer on the online reservation form to remind members that they MUST bring proof of membership to events to qualify for member fees and to avoid having to fill out additional waiver forms
  • Reservation Attendance Record
    1. A discussion at a previous curia meeting to set up some type of record for individuals who fail to cancel for events and do not pay their fees was discussed
    2. It was agreed that the incorporation of a cancellation date would be made on the eent submission form and subsequently the online reservation form so attendees would know what was an appropriate cancellation date.
    3. It was agreed by curia that the autocrat has 2 weeks to verify no shows and cancellations and seek any retribution for those reservations should the autocrat wish to pursue funding. After that point individuals who failed to cancel or did not show up for an event would be put on a list so that autocrats would know to require pre-payment from these individuals to confirm their reservation.
    4. A request for an appeals policy to be included was made in the event of extreme circumstances
    5. The rewording of the policy will be posted to the curia list for approval and voting on once it is complete
    6. This is ongoing
  • Baronial Seneschal
    1. The position of Baronial Seneschal is coming up for re-election in June 2005. A vote will be held at the next Baronial parliament - March 12th - to elect the next Baronial Seneschal
  • Business Cards
    1. Receipts for the printing of Chatelaine business cards were presented.
    2. Photo paper was purchased for the printing of photos in order to save money instead of having the photos printed professionally
  • Baronial printer
    1. Printer and scanner have now been purchased and is available for Baronial printing needs such as the Quid Nunc, Dabblers Guild flyers, etc.

New Business

  • Officer Positions
    1. The following position terms are due to expire:
      - Wolfsgate Seneschal - September 2005
      - Seashire Seneschal, Herald, and Chatelaine - to be voted in January 2005
      - Seashire Minister of Arts & Sciences - April 2005
  • Chatelaine
    1. As reported in the curia minutes of September 2004 and in the Quid Nunc - the position for Baronial Chatelaine expires January 2005. Two candidates have expressed interest in the position, Lady Cristiana inghen Mec-Bead and H.L. Yesungge Altan. A secret ballot vote was taken, votes counted by Lady Janet Kempe and Baron Seumas.
    2. The populace voted to elect H.L. Yesungge Altan the new Baronial Chatelaine
    3. Nick Hue will take over the position of MOL until April 2005 when an official election for the position will take place

  • New Minor Medical Form
    1. A new form available at the East Kingdom website should be used for minors attending events without their parents. This is the only time minors need fill out such a form

  • Bid for Baronial Warcamp
    1. An event bid for Baronial Warcamp July 1-3 at Foxworthy Estates was received. The event to be run by Keith Noseworthy and Mike Reid. Motion to accept the bid was made.

    Total profit = $597.91
    108 people attended (32 non-members resulting in an NMS of 128.00)
    Feast cost = $392.74
    Misc. cost = $303.91
  • Reimbursement to the autocrat and feast-o-crat were made.

    The shriners net $700.00 from bar sales for the evening.

  • Revision to event bid form

    A request was made to revise the event bid form online to allow the autocrat the ability to choose if the bid is based on 50 attendees, 75 or 100.

  • Seashire owes 15.00 to the Quid Nunc for back payment for a cheque that was not cashed
  • The new Borough/Assart expressed interest in hosting an event on the Labour Day weekend. YYG is exploring options to move Summers End to allow this event to take place - decision pending
  • Nicole Chaffey and Susan Richter will be working together to construct a venue database which will include information on potential venues for holding SCA events in Ruantallan
  • The Baron advised that all classrooms and conference rooms at the MFRC are booked until June. Therefore, any attendees at Thursday night fight practices will have to share the multi-purpose room with the marshall activities.
  • The Dabbler's Guild has a new guild mistress - Lady Janet Kempe - who will be working to re-establish the guild in the Barony.
  • Reimbursement for Baronial A&S Cloak to Lady Cristiana - 49.67 - already approved through online vote
