Officer Reports

Chatelaine - Tina Oliver

  • Demo at Fleetcon (September 13, 2003) went very well and all pamphlets were distributed
  • An indoor site was secured for the Canton of Distant Shores for the winter
  • Donations of feast gear and loaner garb were received from Lady Estela du Frayse (Kelly Grant)
  • Another demo is scheduled for October 5th in Downtown Halifax, location TBA - Dance practice will also be moving to this location (historic properties?)
  • A demo/display was also held at the Truro Library with much interest
  • Deputy is in the process of making feast bags and preparing feast gear for use.

Chronicler - Sarah Paterson

  • Summers Quid Nunc was distributed
  • As per the previous Baronial Curia Meeting, the Quid Nunc is scheduled to go out every second month
  • Membership to the Quid Nunc is down by only 1 person
  • Information about Baronial Courts is now going to Paul McCulloch

Exchequer - Joe Chiasson

  • Filed online balance (approx) of $3430.49)
  • Exchequer is holding account for the Barony of Wolfsgate
  • Concerns regarding the legal status of the Barony within the Province of Nova Scotia, as it is not registered
  • NMS fee - these have been submitted from Ruantallan to Kingdom as donations. This will no longer be the case, as it is an exacted fee, and therefore will be listed as a money transfer rather than a donation.
  • Concern regarding insurance coverage was addressed. According to Greg Murray, the insurance certificate received from SCA Inc., notes that coverage is maintained for foreign events. Wendy (Seneschal) to secure an updated insurance certificate from SCA Inc., and it is also recommended that representatives from the Cantons do the same. The validity of this insurance certificate for events in Ruantallan must be ascertained.
  • Henceforth, NMS fees on all event announcements will be listed after the regular fees as "A $4 surcharge will be applied to non-members of the SCA Inc."
  • To clarify the position and/or duties of the exchequer, in any situation where the exchequer deems a threat to the account exists, he/she will take steps to rectify it immediately. This means, at times, that he/she will override the wishes of Curia, the autocrat, whoever.
  • Motion from Greg, seconded by Joe to have the Seneschal and President of the Atlantic Society of the SCA openly discuss the relationships between the two and form a proposal on getting formal registration for the Barony. Voted in unanimously 8-0, no absentions.

Coronet - James Crook

  • Great War Camp on a site with a lot of potential
  • Current paperwork is underway regarding the re-evaluation of Regalia (for online listing on website as well)
  • The Baroness is moving forward with a populous badge for the Barony
  • Sgt. Yeomans and Gallents competition development in process
  • The Coronet is also looking at an overhaul of the Baronial Award System

Knight Marshall - Mike Sangster

  • New Distant Shores indoor practice facility includes enough space for rapier, rattan, and classes. Meetings to be held on Tuesdays
  • Seashire practices continue on Thursday evenings
  • Youth fighting in Seashire is slow to develop
  • Only one incident report at war camp has been filed by Knight Marshall
  • An increase for boffer marshals was requested (currently only 4 - Mark Langille, Mike Burnett, Mike Sangster, James Crook)

Company Captain of Archers - Vivian Fox

  • Tues practice at Vivians' home in Shubenacadie
  • Several new archers are emerging
  • Bows and arrows on order

Minister of Lists - Greg Murray

  • Not a lot of authorizations lately
  • Updated lists are available (unable to print for meeting)
  • Need some updates with Kingdom

Webmaster - Susan Richter

  • Review of the benefits of moving the ruantallan.org site to it's own server were reviewed
  • Offer to include canton websites under the ruantallan.org domain as well as an offer to maintain, re-design and/or both from the current webmaster was put forth
  • If cantons wish to maintain their own site, a separate ftp logon would be required at a cost of $30.00/annum from the Canton in question. No extra fees would be incurred if the site was redesigned and/or maintained by the Baronial Webmaster.
  • Greg inquired if statistics on visits would be made available - confirmed by Susan that a full comprehensive statistics site is included on the new server environment
  • Susan motioned to move the site to its' own domain, seconded by Sarah Paterson - Unanimously approved 8-0 no abstentions
  • Susan motioned to offer cantons and special baronial projects a subsite on the Ruantallan.org domain, seconded by Sarah Paterson - unanimously approved 8-0 no abstentions.

Canton Reports

Distant Shores

  • Status - great population of 8-10 members, 15 non-members
  • Exchequer just received papers for change over from Joanna Flemming (MacDonald) from Mistress Elishevia - report due in mailing.
  • Currently $1283.50 as of July 26/03 less $85 for archery supplies and $80 for SCA signage
  • Archery practices being held in New Glasgow - new policy of $2.00/practice if using canton equipment with a you break it you buy it caveat.
  • Youth fighter practice still active and moving to the Truro Boys & Girls Club Tuesday nights
  • Chatelaine reported that Truro Magazine wanted to do a report on the group and will be taking pictures this Tuesday at their regular practice.
  • Populous Meetings are now being held Tuesday nights at the new indoor site. They will be scheduling regular activities and classes with a regular monthly mini-feast. Garb, when out of armor, is encouraged.
  • Distant Shores requests a form page on the Baronial Website for general waivers, site rosters, and childrens waivers. Also an autocrat page to outline important aspects of advertising etc. as per Baronial SOP's. Information to be sent to the webmaster and placed on site once available.
  • Request for a Baronial Heraldry Database
  • Yesungge requested a Youth Marshals Meeting be held to make sure all Youth Marshals are following the same set of rules and also to give an opportunity to train other youth marshals (as per request from Ynys Y Gwaed & Lyndhaven)

Seashire - presented by Wendy Cotton as received by email from John Percy in absentia

  • Population 40 members, 42 non-members
  • Current bank balance 994.58 including cash on hand
  • Held a DND family days demo in HMC dockyard on June 13-14. Displays included Rattan and Rapier
  • Newcomers event on June 21 was designed to give those who first saw the SCA at the family days demo to come and participate in a full fledged event.
  • Demo held at Fleetcon 2003 on Saturday 13, 2003 reportedly went well - held at the Fleet Club Atlantic
  • Events/demos planned include the Northern Shores Region Rapier and A&S Championships, Saturday October 11, 2003
  • Summer meetings/workshops were put on hold for most of the summer season
  • Meetings are held every other month (last one July 15. Minutes are available at http://sca.uwaterloo.ca/Seashire
  • Thursday evening Rattan/Rapier practices at the CFB Halifax Military Family Resource Centre (MFRC) gym from 6:30 - 10:00pm
  • Sunday afternoon classes are also scheduled (see website for details) from 1-4pm.

Wolfsgate - presented by Wendy Cotton as received by email from Colin MacKenzie in absentia

  • Population - 5 members, 5 non-members
  • Current bank balance - monies held by the Barony of Ruantallan
  • Hopes to resume practices in September

Ynys y Gwaed - no report filed

  • Wendy happy to report they have 14 members now, which keeps them active in the SCA and away from suspended status

Old Business

  • War camp report - total of $926.00 collected. This was divided into $555.00 for the Barony and $371.00 to Lord Foxworthy's camp for the site fee.

New Business

  • Election of new officers, Minister of lists only candidate Mike Burnett. Voted in unanimously
  • Election of Chronicler - Paul McCulloch only candidate. Voted in unanimously. Lady Branwen noted as deputy.
  • Election of Herald - Joan Chiasson only candidate. 7 yes, 1 absention, voted in. Lyanna will be deputy and voice Herald.
  • Event bid for November 29th event (unnamed). Motion to accept by Joan, seconded by Susan - Voted in unanimously 10-0, no absentions
  • Event bid for Crown Tourney. Autocrat Susan Richter, Deputy Autocrat Wendy Cotton. Motion to accept by Susan, seconded by Joan - Voted in unanimously 10-0, no abstentions
  • Event bid for 12th Night - Autocrat Lyanna of Kernough (at present). Motion to accept by Joe, seconded by Tina - Voted in unanimously 10-0 no abstentions.
  • SOP modifications were discussed and revisions made. The revisions will be re-presented at the next curia meeting in December, to be voted on at that time and published in the Jan/Feb Quid Nunc.
  • Baronial t-shirt contest. Only 1 design submitted. Requests to include the bannered titles on original design made. Motion to announce Lyanna of Kernough as winner of the contest by Joan, seconded by Tina - Voted in unanimously 10-0 no abstentions.
  • Posters to help increase membership are completed with one or two minor text changes requested. Posters will be available on the website and to anyone who requests them in doc or pdf format for printing and use in their area. Motion to accept posters made by Mike Burnett, seconded by Paul - Voted in unanimously 10-0, no abstentions.
  • Membership draw - tickets will sell for $1.00 each, $3.00 for 5. Winner will receive a paid membership for one year to the SCA. Tina to make tickets, draw to be held at 12th night. Winning membership must be used for a NEW member only - and is not valid for a membership renewal.
